Purpose of this Privacy Statement

This privacy statement explains how we collect, use, disclose, and retain your personal data while you are in the Trained Peers Program.

We take Your privacy rights very seriously and We seek to ensure the highest standards of compliance. We fully comply with all applicable data protection laws, including: (i) the General Data Protection Regulation (“GDPR”) and other applicable European Union data protection laws; (ii) the UK Data Protection Act 2018 (“DPA 2018”) and other applicable UK data protection law (“Data Protection Legislation”).

As we collect information using Third Party services, this statement also includes the privacy policies established by the following Third Parties:

This is Our Privacy Statement and it supersedes any earlier version. Please note that from time to time We will update and amend the Statement accordingly. We will always post any changes to Our Privacy Statement on this section of Our Site. If We make changes to the way that We use Your Personal Data, We will inform You via email or similar means.

 

Personal Data and Special Category Data

To administer the Trained Peers Program, We collect personal data via our Third Party services mentioned above. We limit our collection of personal data to that which is necessary to deliver the program. Our lawful basis is performance of a contract with you.

We may also collect special category data for statistical and research purposes to learn about the participants of the Trained Peers Program and improve the service. This data is optional to provide. Our lawful basis is that this processing is necessary for our legitimate interests in improving the Trained Peers Program, and our special category condition is archiving, research and statistics (with a basis in law).

We may collect, use, store, and transfer different types of Personal Data and Special Category Data about you, which we have grouped together as follows:

Personal Data:

  • Full name
  • Email address

Special Category Data (optional to provide):

  • Gender
  • Ethnicity
  • Identification as part of the LGBTQIA+ community

This data is collected through our Third Party service, SurveyMonkey to register you for the Trained Peers Program, to provide you with training using TalentLMS, to schedule Roundtable sessions with Clinical Supervisors using Calendly, and to issue your certification upon completion of the program, using Credly.

 

If you fail to provide Personal Data

Where We need to collect Personal Data to deliver the Trained Peers Program to You, and You fail to provide that data when requested, We may not be able to deliver the Trained Peers Program to you. In this case, we will notify you that we cannot deliver the Trained Peers Program to you.

 

How we collect your Personal Data and why do we have it

We use your Personal Data to confirm your completion of the Trained Peers Program via a Progress Report. This report may be shared with your funding organization to confirm your completion of the program.

The organisation that has paid for your access may also review our member demographics, this information is anonymous and aggregated when shared.

For statistical purposes, we will process a summary of your Trained Peer activity on Togetherall with your Personal Data. We may share this information with your commissioning organisation for the purpose of service evaluation.

 

How we may disclose your Personal Data and Special Category Data

We may use your special category data collected by our Third Party service to produce aggregated reports to improve the Trained Peers Program and share overall impact with commissioning organisations and stakeholders.

We will process a summary of your Trained Peer activity on Togetherall with special category data. We may share this information with your commissioning organisation for research and statistical purposes. Your data will be treated in the strictest confidence, and will only be shared in an aggregated form.

We do not sell this information to any third parties.

We may disclose your Personal Data to Third-Parties to:

  • Deliver training, on-boarding materials, and assigning digital credentials as part of the Trained Peers Program. Your Personal Data (name and email address) will be shared with Third Party services such as, Learning Management System (LMS) provider, and Digital Credential provider.

 

Retention and Destruction of Personal Data

We only keep Your Personal Data for so long as it is necessary to fulfil the purpose for which it was collected and for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements.

We will keep Your Personal Data for a period of 10 years after You or We have closed Your Trained Peer Account, or if You have not logged into Your Trained Peer Account for more than 10 years. After that 10-year period We will delete all of Your information securely in accordance with Our data destruction policies unless You contact Us to reactivate Your Trained Peer Account in that period. You may contact us at peers@togetherall.com if you wish to access your Personal Data or make a request related to it. We may retain Your Personal Data for a longer period in the event of a complaint or if We reasonably believe there is a prospect of litigation in respect to Our relationship with You.

We may retain some information in anonymised form, for example for statistical analysis and research purposes, but We do not retain any Personal Data after the expiry of the 10-year period from the date of closure or expiry of Your Trained Peer Account.
